Terms of Service

These draft terms describe the planned agreement for using the BookableCheck website and HubSpot application.

1. Agreement and eligibility

These Terms govern access to BookableCheck. By installing or using the service on behalf of an organization, the user represents that they are authorized to bind that organization and authorize the documented HubSpot access. The service is intended for business use by adults.

2. The service

BookableCheck reads supported HubSpot owner, scheduling-page, and minimal meeting data to identify references to deactivated users. Paid features include detailed findings, admin-confirmed CRM meeting-owner reassignment, page-specific remediation, offboarding cases, verification scans, alerts, and short-term history.

BookableCheck may update the hubspot_owner_id property on customer-selected future meeting records. It does not transfer, edit, disable, or delete HubSpot scheduling pages; change the organizer or guests on external calendar invitations; guarantee recovery of existing appointments; or replace the customer’s offboarding, security, or records-management processes.

3. Customer responsibilities

  • Maintain an eligible HubSpot Professional or Enterprise account and accurate billing information.
  • Install the service only on portals the customer is authorized to administer.
  • Review findings and make changes in HubSpot or connected calendars using qualified personnel.
  • Validate replacement users, seat eligibility, connected calendars, public links, routing, notices, and attendee communications.
  • Comply with applicable privacy, employment, communications, and data-protection laws.
  • Keep account credentials secure and promptly report suspected unauthorized access.

4. Free service

The Free plan includes one completed initial aggregate scan per portal. BookableCheck may retry a failed job until one scan completes. Identities, exact links, rescans, remediation, alerts, and detailed history are not included.

5. Pro subscription and payment

BookableCheck Pro is planned at $49 USD per HubSpot portal each month, excluding applicable taxes, with no trial. Stripe processes payments. Pro begins only after BookableCheck confirms the signed subscription event. One active subscription is allowed per portal.

A past-due subscription receives a seven-day grace period. Unpaid, paused, expired, or otherwise ineligible subscriptions become aggregate-only and detailed operational data may be deleted. Cancellation through Stripe ordinarily takes effect at the end of the current paid billing period.

6. Uninstall does not cancel billing

Removing BookableCheck from HubSpot, revoking OAuth access, or using the in-app disconnect action does not cancel the Stripe subscription or stop recurring charges. The billing contact must cancel separately in the Stripe billing portal. After HubSpot uninstall, BookableCheck stops scanning and deletes operational application data while retaining the minimum billing linkage needed to continue the subscription and support cancellation.

This continuing-billing policy is a pre-launch business rule that requires explicit legal and HubSpot Marketplace approval. BookableCheck will not accept production payments unless that approval is obtained.

7. Data and privacy

The Privacy Notice explains planned collection, use, sharing, security, retention, and deletion. The customer is responsible for providing any notices and obtaining any permissions required for its users and data subjects.

8. Acceptable use

Customers may not use BookableCheck to violate law or third-party rights; attempt unauthorized access; interfere with the service; bypass plan or permission controls; introduce malicious code; probe another customer’s data; resell the service without permission; or use output as the sole basis for employment, legal, security, or safety-critical decisions.

9. Third-party services

BookableCheck depends on HubSpot, Cloudflare, Stripe, and SendGrid. Their availability, APIs, account eligibility, policies, and terms are outside BookableCheck’s control. HubSpot may change scheduling behavior or available records, and scan results may therefore be delayed, partial, or unavailable.

10. Changes, suspension, and termination

We may change the service to maintain security, comply with provider or legal requirements, or improve functionality. We may suspend access for nonpayment, security risk, unlawful use, or material breach. Final notice periods, customer termination rights, and material-change procedures will be completed during legal review.

11. Disclaimers

BookableCheck is a detection and guidance tool, not a guarantee that every scheduling page, appointment, attendee, or calendar event has been found or recovered. A partial or failed scan is not an all-clear. Customers must verify changes in HubSpot and their calendar systems. Final “as is,” warranty, and statutory-rights language will be inserted by counsel.

12. Liability and indemnity

Appropriate limitation-of-liability, exclusion-of-damages, indemnification, and remedy provisions will be drafted and approved by counsel. No limitation is asserted by this placeholder beyond what applicable law permits.

13. Governing law and disputes

The governing law, courts or arbitration mechanism, claim procedures, and legal notice address remain to be selected by the service operator with counsel before these Terms become effective.
